Manage users on your HugoFox website

Your HugoFox site can have as many editors as you like - each with their own secure login - so you never have to share passwords. In just a few clicks you decide who can do what, from full‑blown administration to editing a single page.

1  What user roles are available

There are two built‑in roles:

  1. Account manager – a mirror of your own admin rights. An account manager can add or delete pages, create events, manage other users (but never the primary admin), view payments and more.

  2. Content editor – a lighter role for day‑to‑day updates. You decide whether they can edit every page or just a selection you choose. Content editors cannot create, delete or publish pages, nor can they view any admin‑only areas such as payment records.

Tip: You can switch a person between roles at any time—changes apply the moment you save.

2  How to add a new user

  1. Go to My account › Users.

  2. Click the blue Add new user button.

  3. Enter the person’s Name, Email and Confirm email.

  4. Select Account manager or Content editor.

  5. If you pick Content editor, decide on All pages or Selected pages (see next section).

  6. Click Save.

The user is created instantly and an invitation email is sent from team@hugofox.com.

Important: A user must accept the invitation and set a password before they can log in.

3  Choosing page access for content editors

When you select Content editor you’ll see two options:

  • All pages – ideal for a trusted volunteer who updates news or diary dates everywhere.

  • Selected pages – tick the boxes beside each page you want them to manage. Only those pages appear in their dashboard when they sign in.

You can refine this list whenever you like without notifying the user.

4  Email invitation and first‑time login

The invitation email clearly states your website name and contains a secure link. The new user simply:

  1. Clicks the link.

  2. Chooses a password (minimum eight characters).

  3. Visits hugofox.com and selects Log in on any device.

  4. Enters their email address and new password.

From then on they log in exactly as you do.

Note: Invitations expire after a little while for security reasons, so if someone can’t find the email or its expired you can delete and re‑add them to trigger a fresh one.

5  Resetting a forgotten password

Passwords are personal—admins cannot reset them for users. Instead, ask the person to click this link and follow the on‑screen steps. They’ll receive a one‑time email that lets them choose a new password in seconds.

6  Changing a user’s permissions

Need to promote an editor or tighten access?

  1. Open My account › Users.

  2. Click the blue box showing the user’s current role (for example, Content editor).

  3. Switch the role or adjust page selection, then Save.

Changes take effect immediately and the user is not notified—handy when you’re fixing access in a hurry.

7  Removing a user

  1. In My account › Users click the white × inside the red circle to the left of the person’s name.

  2. Confirm the deletion.

The user’s account is closed straight away and they receive an email letting them know. If you need to reinstate them later, simply add them again as a new user. They will need to set up their password again using the new link sent to them.

8  Best‑practice tips for managing users

  • Keep roles lean. Grant account‑manager status only to people who truly need full control.

  • Use page‑level permissions. For casual contributors, limit access to the pages they actually edit—this avoids accidental changes elsewhere.

  • Refresh regularly. Review your user list every quarter and remove people who no longer need access.

  • Encourage strong passwords. A mix of upper and lowercase letters plus numbers is the simplest way to boost security.

  • Document your process. A brief note in your council or club handbook on “How to request HugoFox access” prevents confusion when committee members change.
