Paying for your HugoFox website is straightforward and flexible—you choose the frequency and the method that suits your organisation. This guide explains every option, the details you’ll need, and where to find past invoices.
1 Payment options at a glance
HugoFox offers three ways to pay for your subscription:

Monthly direct debit – an automatic withdrawal on the same date each month.

Annual direct debit – one payment per year, taken on your renewal date.

Monthly debit or credit card – your card is charged every month.
The price is identical whichever method you pick; the only difference is how often the money leaves your account.
2 How monthly direct debit works
A monthly direct debit is the set‑and‑forget option. We partner with GoCardless, a UK‑regulated provider trusted by thousands of councils and charities. Once you authorise the mandate, GoCardless pulls the subscription fee on the same calendar day each month. You’ll receive an email two working days before every collection, giving you time to query or cancel if needed.
Tip: If your renewal date falls on a weekend or bank holiday, GoCardless automatically moves the collection to the next working day—so no risk of failed payments.
3 How annual direct debit works
Annual direct debit is popular with councils that prefer a single payment per budget year. The setup process is identical to monthly direct debit, but the mandate specifies one transaction every 12 months. You still get the two‑day advance notice email, and GoCardless will remind you 14 days before the renewal in case your signatories have changed.
Note: Switching from monthly to annual (or vice‑versa) is free. Simply contact support and we’ll amend the mandate—no need to cancel and start over.
4 How monthly card payments work
If you’d rather pay by debit or credit card, HugoFox uses Worldpay to handle transactions securely. Your card is charged on the renewal date each month, and Worldpay emails a receipt immediately. Card details are tokenised and never stored on HugoFox servers, keeping you PCI‑DSS compliant without extra paperwork.
Should your card expire, Worldpay notifies you and prompts you to update the details in your My account area. Payments resume automatically once the new card is saved.
5 Details you’ll need to set up direct debit
Setting up a GoCardless mandate takes under two minutes. Have these details to hand:

Account name – exactly as it appears on your bank statement.

Sort code and account number.

Billing email – where you want advance‑notice emails sent.

Second authoriser (if required) – many parish councils need two signatures. GoCardless provides a digital co‑authorisation form; simply tick the box when prompted, and a link is emailed to the second signatory.
Important: For joint‑authority mandates, the direct debit is not active until both parties have signed. You’ll see the status as “Pending” on your Payments page (payments page).
6 Details you’ll need for card payments
To add or update a card, navigate to My account > Subscription details (subscription details page) and enter:

Worldpay runs an instant authorisation check. If the bank requests 3‑D Secure verification, follow the on‑screen steps—usually an SMS code or app approval. Once verified, you’ll see a green confirmation banner and the next charge date.
7 Finding and downloading your invoices
Every invoice - past and present - is stored in your Payments page. Sign in, go to My account > Payments, then click Download PDF next to any entry - ideal for VAT reclaims or annual audits.
