Create and manage event posts
Putting on a community fête, charity walk, or local comedy night? Your HugoFox events tool makes promotion quick, tidy and—best of all—free. In just a few clicks you can publish the full details, sell tickets, and share attractive posters that look great on any device.
1 Overview of your events dashboard
When you open Events in the admin menu you’ll see every post you’ve created, sorted into five handy tabs:

Active – visible on your website right now

On hold – scheduled to go live on a future date

Expired – the event has happened and has been removed from public view

Drafts – not visible on the website and still in progress

All – a complete list of every event, regardless of status
Action icons sit to the right of each headline—Edit, Clone, Renew, Delete, Disable and preview—so managing content takes one click. Each label updates automatically, so you always know which events are live and which need attention. If you’re familiar with publishing news items you’ll recognise the layout—events follow the same simple workflow (see Creating news posts).
2 Start a new event post
Hit Add event in the top-right corner to open a fresh editing page. Here you’ll give the event its:

Title – keep it short and descriptive; e.g. “Summer Fun Day 2025”.

Status – click publish when finished to make the event live straight away, or choose save a draft to save it and not put it live.
Note: The title becomes the event’s page URL, so good spelling helps search engines find you.
3 Set schedule and status
Under Schedule choose your Start date and End date (perfect for one-day shows or week-long festivals). Times are optional but useful for theatre performances or webinars where punctuality matters.
If the event spans several non-consecutive days—such as a monthly market—create separate listings so visitors can RSVP to each date.
Important: Double-check time zones for virtual events so overseas participants join at the right moment.
4 Configure ticket pricing and purchase link
For Fees you have two choices:
Free event
Tick the Free box and you’re done—simple.
Paid event
Leave Free unticked and type a clear price in the Entrance fee field (for example “£5 adults / £2 concessions”). If you offer several packages—early-bird, VIP, family bundles—list them here with bullet points for readability.
Paste any third-party checkout URL (for example Eventbrite) into External booking link. Visitors will see a Buy tickets button that opens your vendor in a new tab. For tips on building Eventbrite campaigns click this link.
Note: If tickets vary by age or membership, spell out who qualifies—this prevents confusion at the gate.
5 Enter location and contact details
Every good listing tells people where and who:

Location – start typing a postcode and choose the correct address from the dropdown. If you’re hosting online, type “Virtual” or “Zoom”.

Contact name, email, phone – prospective attendees may have questions, so give them a friendly point of contact.
Tip: For privacy you can leave personal phone numbers blank; enquiries will still route through HugoFox’s secure email form.
6 Write a compelling event description
Use the main Description box to paint a picture:

What will people see, do or learn?

Who is the headline act or special guest?

Why is the event raising funds or awareness?
Aim for 150–300 words. Break long passages with sub-headings or numbered points so busy readers can skim. Avoid jargon—plain English reaches the widest audience. If the event supports a cause, link to your charity profile (About your charity) at first mention.
Tip: End with a friendly call-to-action: “Reserve your place today—spaces go fast!”
7 Add images, posters and flyers
Visuals boost engagement and shareability:

Images – add up to 10 photos beneath the description. Drag-and-drop to upload, then reorder by dragging. Captions appear underneath each photo, giving context and boosting accessibility.

Poster image – upload a thumbnail that appears in search results and social previews.

Flyer PDF – attach a high-resolution A4 file so visitors can print and display it on noticeboards.
Alt text is generated from the file name, but you can overwrite it with a concise description such as “Colourful summer fair poster with bunting”.
Important: Landscape photos (at least 1200 px wide) look sharp on desktop and mobile. Portrait shots may crop unpredictably.
8 Monitor post performance
Silver and Gold customers unlock the Statistics tab (Using site statistics). Here you’ll see daily views and unique users for each event post.
Use these insights to fine-tune headlines, imagery and publishing times. Spot patterns—such as spikes after email newsletters—or identify posts that need a refresh before you renew them next year.
